Privacy Policy

01 Data we collect

We collect the following categories of information:

• Account data: your name, email address, and hashed password (or OAuth token if you sign in with Google). Classroom plan operators also provide school/organisation name.
• Session content: the language you choose to practise, any source material you supply (text passages), audio recordings of your practice, and the transcripts produced by our speech-to-text pipeline.
• Pronunciation scores and feedback: per-phoneme scores, session scores, and AI-generated coaching notes stored against your account to track progress over time.
• XP and badges: engagement metrics we use to surface progress and motivate continued practice.
• Subscription and billing data: your current plan, subscription status, and billing history. We do not store raw payment card details — these are held by Stripe.
• Usage and technical data: log data (IP address, browser type, pages visited, timestamps), collected automatically when you interact with the platform.

02 How we use your data

We use the information we collect to:

• Provide, operate, and improve the Lingua·Lab service.
• Deliver real-time pronunciation feedback by passing your audio transcripts and session context to our AI pipeline.
• Track your learning progress and generate personalised coaching notes.
• Process payments and manage your subscription.
• Send you service-related email (see Section 5).
• Detect and prevent abuse, fraud, and security incidents.
• Comply with legal obligations.

We do not sell your personal data to third parties. We do not use your data for advertising profiling.

03 Third-party service providers

To deliver Lingua·Lab we share data with the following categories of processor:

• OpenAI (via Cloudflare Worker proxy): your session prompts and transcripts are sent to OpenAI's API to generate pronunciation coaching and AI-scored feedback. Requests are routed through a Cloudflare Worker so that your audio data never passes through our Lambda functions in raw form. OpenAI's privacy policy applies to data processed by their models.
• Stripe: payment card processing and subscription management. Stripe's privacy policy governs payment data.
• Amazon Web Services (AWS): infrastructure provider. Compute (Lambda), object storage (S3), email delivery (SES), and managed database (RDS PostgreSQL) all run in AWS data centres in the United States.
• Cloudflare: CDN, DNS, and our AI request proxy. Cloudflare sees request metadata (IP address, path) in transit. Cloudflare privacy policy.
• Google (OAuth): if you choose to sign in with Google, Google authenticates your identity and shares your name and email address with us. Google privacy policy.
• Microsoft Clarity: behavioural analytics (see Section 4).
• Google Analytics: aggregate usage analytics (see Section 4).

04 Analytics

We use Google Analytics to understand how visitors navigate our marketing site. Google Analytics collects anonymised aggregate data about page views, session durations, and referral sources. You can opt out using the Google Analytics Opt-out Browser Add-on.

We also use Microsoft Clarity, a behaviour analytics service provided by Microsoft. Clarity may record mouse movements, clicks, and scrolls on marketing pages to help us improve usability. Microsoft states: "Microsoft Clarity is a behavioral analytics tool that helps you understand how users interact with your website through session replays and heatmaps." Data collected by Clarity is processed in accordance with Microsoft's Privacy Statement. By using Lingua·Lab you consent to Microsoft Clarity collecting and processing your interaction data in this way.

Neither Google Analytics nor Microsoft Clarity are active inside authenticated app sessions — they run only on the public marketing site.

05 Email we send

We send the following categories of email using AWS SES:

• Welcome email: sent once when you create your account.
• Passphrase reset: sent only when you request a password reset.
• Daily engagement email: sent to student accounts that have been inactive for more than 24 hours, to encourage return to practice. Teachers can disable these for their class from the teacher dashboard.

We do not operate a marketing mailing list. You will not receive promotional newsletters. The only way to stop all email from Lingua·Lab is to delete your account, which removes your address from our systems.

06 Data retention

We retain your data for as long as your account is active. After you cancel or delete your account:

• Account data (name, email, scores, transcripts) is deleted within 90 days of cancellation.
• Audio recordings stored in S3 are deleted within 180 days via an S3 lifecycle policy.
• Billing history is retained for as long as required by applicable financial regulations (typically 7 years).

Anonymised aggregate analytics data (not linked to any individual) may be retained indefinitely for product improvement purposes.

07 Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal data. To exercise any of these rights, email us at andrea@lingua-lab.org with the subject line "Privacy request". We will respond within 30 days.

If you are located in the European Economic Area or United Kingdom, you also have the right to lodge a complaint with your local data protection authority.

08 Children

Lingua·Lab is not directed at children under 13. We do not knowingly collect personal data from children under 13 without verified parental consent. Classroom plan administrators who create accounts for students under 13 are responsible for obtaining and documenting appropriate parental consents.

If you believe we have inadvertently collected data from a child under 13, please contact us immediately at andrea@lingua-lab.org and we will delete it promptly.

09 Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes we will update the "Last updated" date and notify you by email. The current version is always accessible at lingua-lab.org/privacy.
